Checking your Microsoft Form results

What is this article about?

Microsoft Forms includes rich, real-time analytics that provide summary information and individual results for surveys and other types of forms. You can export the results to Microsoft Excel for more in-depth analysis, as well as delete or print a summary of responses.

How do I use this technology?

After you create your form, adjust its settings, and share your form with others, it’s time to view the results. There are many ways to access the data you've collected. Below are some of the most common.

 

Viewing results through a web browser

  1. Login to Office 365 (see Getting Started with Microsoft Forms)
  2. From the App Launcher select Forms.

  3. Under My Forms click the desired form.

  4. Click the Responses button.

  5. Across the top, you'll see summary information data about your form, such as number of responses, average time it took for responders to complete your form, and the from's current status. Next to each question, you'll see the number of responses, and either a list of the most recent responses, or a a chart of the response breakdown, depending upon question type selected.

  6. Click View Results.

  7. You will see individual details for each responder, such as time it took to compelte the form, and the responses made.

  8. You can access responses by other participants by using any of the following options:
    • Click the down arrow next to the Responder name to jump to the results of another responder.

    • Click the left or right arrows to toggle through the result details of other participants.

  9. Additionally, you can view details for each question by clicking the More details link.

  10. On the Details page you will see more details for each question such as the name of each responder, if enabled, and their answer for each question.

    Tip: You can click the colunn headers to sort the response results.
     
  11. To view the next question click the Next Question button.

Exporting results into Excel

You can easily view all the response data for your form in Microsoft Excel.

  1. Follow steps 1 - 4 above in Viewing results through a web browser to access your form.
  2. Click Open in Excel button on the Responses tab to capture a snapshot of your current response data.

Notes:

  • If you've created your form in Forms on the web (as documented in this tutorial), and click Open in Excel, an offline Excel workbook will open that has no relationship, or connection to your form. This means if you get additional responses you'll need to download a new copy.
  • If you've created your from in your OneDrive for Business and click Open in Excel, your excel workbook is automatically stored in OneDrive for Business and contains a live data connection to your form. Any new response data in your form will be reflected in your workbook.
  • If you've created your form in Excel Online and click Open in Excel, your Excel workbook is automatically stored in OneDrive for Business and contains a live data connection to your form. Any new response data in your form will be reflected in your workbook.

 

 

Print a summary of all responses

You can easily print out a summary of your form questions, number of responses, and colorful charts for responses, where appropriate, that shows a breakdown of that response.

  1. Follow steps 1 - 4 above in Viewing results through a web browser to access your form.
  2. Click the More options (...) button.

  3. From the drop-down menu click the Print summary button.

  4. Your web browser's print dialog box will appear. Complete printing as normal for your system.

 

Print a summary for an individual responder

 

  1. Follow steps 1 - 6 above in Viewing results through a web browser to access your form.
  2. Find the desired result to print by either clicking the down arrow next to the respondent name, or clicking the right, or left arrow to toggle through the responses.
  3. Click the More options (...) button.

  5. Your web browser's print dialog box will appear. Complete printing as normal for your system.
